Overview

AccuRoute DMS Conversion Tool enables you to extract documents from a document management system (DMS). As described in the remainder of this Readme, AccuRoute DMS Conversion Tool is available for:

Components of AccuRoute DMS Conversion Tool

The components are as follows:

When extracting documents those that are declared as Record can be extracted (if they meet the selection criteria), but they cannot be replaced. This is because, documents declared as records cannot be modified. You can only create the new documents based on them.


AccuRoute® DMS Conversion Tool:  Autonomy iManage WorkSite

You can configure daily, weekly or monthly document extraction in the AccuRoute DMS Conversion Tool or you can configure document extraction at specific times depending on the need of your organization. At the scheduled time, the Job Extraction Application component of the DMS Conversion Tool extracts documents according to previously defined Selection Criteria properties. and submits them to AccuRoute Server for processing via the AccuRoute Connector for DMS Conversion Tool. The AccuRoute Server processes the documents and converts them to the final forms. The AccuRoute Connector for WorkSite now delivers the documents to the Autonomy iManage WorkSite repository - either replacing or adding them per Selection Criteria properties.


Requirements for AccuRoute DMS Conversion Tool (Autonomy iManage WorkSite)

The AccuRoute DMS Conversion Tool Update can be installed on a system running Windows 2008 64 bit / Windows 2003 64 bit and requires:


Downloading AccuRoute DMS Conversion Tool (Autonomy iManage WorkSite)

  1. Go to http://www.omtool.com/support.

  2. Log in using your customer number.

  3. Locate the module in the Downloads & Docs section.

  4. Download the module.

  5. When the File Download page appears and Internet Explorer prompts you to choose whether you want to run the program from its current location or save it to disk, select the Save This Program to Disk.

  6. Click OK.


Installing AccuRoute DMS Conversion Tool (Autonomy iManage WorkSite)

  1. Go to the location where you saved om301DMSConversionTool.exe.

  2. Double-click the executable. The Omtool DMS Conversion Tool Update page opens prompting you to extract and install the update.

  3. Click Continue to extract the files to a temporary location on your system. When the process is complete, the Install Update page opens.

  4. Click Next. The Detect Components page opens listing the components that will be updated.

  5. Click Next to install the update. A progress bar shows the status of the installation.

  6. When installation is complete you see the Installation Completed page.

  7. Click Finish to close the page.

  8. Open the Omtool Server Administrator and go to the Server Properties page. In the General section, under Applied Updates, the DMS Conversion Tool Update should be listed with a status of Update completed successfully.

Note: Notice the DMS Conversion Tool tab on the Server Properties page.


Configuring AccuRoute DMS Conversion Tool Administrator (Autonomy iManage WorkSite)

  1. In the Omtool Server Administrator, open the Server Properties page by right-clicking the Server name and selecting Properties from the drop down menu.

  2. On the Server Properties page, go to the DMS Conversion Tool tab where you will configure and access the DMS Conversion Tool Selection Criteria.

  3. Click New to open the Selection Criteria Properties page and configure the General, Job Properties, and, optionally, Limits selection criteria.

  4. Test that the selection criteria is set by clicking the Test button to review preliminary list of documents that satisfy the filter.

Note: Do not proceed to the next section if not all of the settings are set properly.

  1. In the Connection String text box, define the connection string to the SQL table housing the AccuRoute Server database, for example:
    Driver={Sql Server}; Server=MAGNOLIA\SQLExpress; Database=AccuRoute Server;UserID=""; Password="";

  2. On the Table name drop-down, select DMSExtractionTransactionLog from the list of tables found in the connection string.

  3. Click OK to complete DMS Conversion Tool configuration.

Configuring the General Selection Criteria (on the General Tab)

Note: The account used in DMS Conversion Tool must have enough privileges to access all the documents that needs to be converted. If adequate permissions are not set, the EJR files can be renamed to BAD.

  1. Click New to open the Selection Criteria Properties page where ID is pre-polulated. It is an internally calculated value that uniquely identifies the selection criteria.

  2. In the Description text box, enter a description of the selection you are configuring.

  3. On the DMS type drop-down, select the extraction DMS - in this release it is DMSExtractorWorkSite. Once you select the DMS type, the Configure button turns active.

  4. Click Configure to open the Configure WorkSite page where you will define the DMS login credentials.

    1. In the Server text box, enter the name of the WorkSite server.

    2. In the Username text box, enter name of a valid WorkSite administrative type user.

    3. In the Password and Confirm text boxes, enter the password for the user.

    4. Optionally, click the Advanced tab to configure extraction options.

    5. Select Tips Only for extraction of document tips.
      Alternately, select All Versions for extraction of all document versions.

    6. Click OK to complete WorkSite DMS login configuration.

The area under the DMS Type section will display textual information about your configuration in the Configure WorkSite page.

  1. Click Properties to open the WorkSite Selection Criteria page and define the filter to be used to determine which documents are to be extracted from the DMS.

    1. From the Database field drop-down, select the name of the WorkSite database from which the extraction is to be performed.

    2. In the Type text box, enter ACROBAT to indicate that PDF documents are to be extracted for conversion. Alternately, to extract TIFF documents for extraction, enter TIFF.

The area next to the Filter section will display textual information about your filter.

  1. Check the box beside Skip image PDF documents That Contain Text to indicate that PDF documents that contain text are not to be extracted. If this is not selected, all PDF documents will be extracted.

  2. In the Drop Folder text box, click Browse to select or enter the path to the folder where extraction EJR files are to be dropped.

  3. Click Schedule to schedule the running of the conversion tool. The Enter Account Information page opens.

    1. Enter the Username and Password of the user. Confirm the password and click OK. The Omtool DMS Conversion Tool dialog opens.

    2. Click Schedule.

    3. From the Schedule Task drop-down, select Daily, Weekly, At Logon, When Idle, or some other option as needed.

    4. If there are more settings involved, configure them as needed.

    5. If needed, set the start time using the Start Time spindle.

    6. Click OK to set the schedule.

When extracting documents at a scheduled time, those that are checked out and open will be processed and replaced by the AccuRoute Connector for DMS Conversion Tool if these files were opened by the same WorkSite user as the DMS Conversion Tool's WorkSite user. This is because Omtool allows check-in files when the same user is checking in the file which was previously checked out by the same user.

To avoid the previously documented scenario, Omtool recommends that the DMS Conversion Tool user account should be a dedicated account for the DMS Conversion and should not be re-used at the same time by different users for example to open documents when connected via the DeskSite.

  1. Optionally, click Run Now to run a pre-scheduled job.

  2. When you have finished configuring, go to the Job Properties tab.

Configuring the Job Properties Selection Criteria (Job Properties Tab)

  1. Click Job Properties to open the tab.

  2. In the Originator text box, enter the originator details. The Sender column in the Messages (In Process/History) queue will be populated with this value.

  3. On the Destination drop-down, select the final destination type as DMS, Email, or UNC path. On the drop-down beside Destination, enter the DMS destination or the Email address or the UNC path, as appropriate (depending on your Destination selection).

    If you select DMS as the destination, the Advanced button turns active.

  4. Optionally, click the Advanced button to modify the default recipient settings.

    1. On the Advanced Recipient Settings page, select from the following options: Replace, New Version, or Create.

    2. Click OK to close the Advanced Recipient Settings page.

  5. Optionally, on the Format drop-down box, change the default final format if PDF (OCRImage+Text) is not the final format.

  6. Optionally, on the Priority drop-down box, change the job processing priority from low.

Note: It is recommended that you use low priority to ensure that regular jobs at medium and high priority get done ahead of these conversions.

  1. Optionally, in the Composer Class text box, enter the name of a Compose Class that the AccuRoute server will use to process the composition of the job

  2. Optionally, click New to define custom properties. The Custom Property page opens.

    1. In the Property text box, enter the property name.

    2. In the Value text box, enter a predefined value.

    3. Click OK to close the page.

Note: If the final format of documents to be submitted back to WorkSite is Word, in the Property text box enter prDMSDocTypeID and in the Value text box enter WORD.

  1. When you have finished configuring, click OK to save your changes. The criteria is listed in the Selection Criteria section of the DMS Conversion Tool tab in the Server Properties page.

  2. Optionally, if you want to configure Limits, go to the Limits tab.

Configuring the Limits Selection Criteria (Limits Tab)

The Limits tab allows you to limit the number of jobs the DMS Conversion Tool processes at a time. For example, you may want to Initially run the application with limits to ensure that the AccuRoute Server can handle the number of conversion requests. This will be done by controlling the value for the first #### jobs that match.

Note:The number of jobs to process is counted from the total number of documents returned from the search including those which were already processed previously.

  1. Click Limits to open the tab.

  2. Optionally, check the If the retrieved job count is greater than option. The default value of jobs is 250.

  3. Configure as necessary by changing the retrieved job count and the Process first 100 jobs that match values.

  4. If necessary, also you can also select the Process 25 percent of the jobs that match option.

  5. Optionally, check the Wait 10 seconds after each document before submitting next document option and then change the seconds value as necessary.

  6. When you have finished configuring, click OK to save your changes. The criteria is listed in the Selection Criteria section of the DMS Conversion Tool tab in the Server Properties page.


Configuring the AccuRoute Connector for DMS Conversion Tool

The AccuRoute Connector for DMS Conversion Tool processes the EJR files created by the Job Extraction Application. To configure AccuRoute Connector for DMS Conversion Tool:

  1. Open the Omtool Server Administrator.

  2. Go to Connectors > New > AccuRoute Connector for >DMS Conversion Tool. The Server Address page opens.

  3. Verify that the Run on the Omtool Message Server option is selected and click Next. The Display Name page opens.

  4. The default name is DMS Conversion Tool on the Server. Change the name, if necessary, and click Next. The DMS Type page opens.

  5. On the Choose the DMS type drop-down menu, choose WorkSite and select Configure to configure the DMS login credentials. The WorkSite Login Configuration page opens.

    1. In the Server name text box, enter the name of the WorkSite server.

    2. In the User name text box, enter name of a valid WorkSite administrative type user.

    3. In the Password text box, enter the password for the user.

    4. Click Next. The WorkSite Configuration page opens.

    5. Under Login configuration, verify that the Prompt for login only if necessary option is selected. If not, select this option.

    6. Under Profile type, verify that the Use Standard Profile Dialog option is selected. If not, select this option.

    7. Under Placeholder, select Retain placeholder profiles in WorkSite after creating an Embedded Directive.

    8. Click Next. The Interwoven Records Manager page opens.

    9. Select the Declare as record feature, if needed.

    10. Click Finish to complete the WorkSite configuration.

  6. Click Next on the DMS Type page. The DMS Conversion Tool page opens.

  7. In the Specify a folder to scan text box, enter the folder the connector should monitor for incoming EJR files.

  8. Click Next. The Congratulations page opens.

  9. Click Finish to close the wizard.

The connector in now listed in the details pane.


Configuring the AccuRoute Connector for WorkSite

The AccuRoute Connector for WorkSite delivers processed documents from the AccuRoute Server to the Autonomy iManage WorkSite repository. To configure AccuRoute Connector for WorkSite:

  1. Open the Omtool Server Administrator.

  2. Go to Connectors > New > AccuRoute Connector for > DMS. The License page opens.

  3. In the License text box, provide a Tier 2 license obtained from Omtool and click Next. The Server Address page opens.

  4. Verify that the Run on the Omtool Message Server option is selected and click Next. The Display Name page opens.

  5. The default name is DMS on the Server. Change the name, if necessary, and click Next. The DMS Type page opens.

  6. On the Choose the DMS type drop-down menu, select T2 - WorkSite and click Next. The Congratulations page opens.

  7. Click Finish. The WorkSite Login Configuration wizard opens.

    1. In the Server Name text box, enter the name of the WorkSite server.

    2. In the User name text box, enter name of a valid WorkSite administrative type user.

    3. In the Password text box, enter the password for the user.

    4. Click Next. The WorkSite Configuration page opens.

    5. Under Login configuration, verify that the Prompt for login only if necessary option is selected. If not, select this option.

    6. Under Profile type, verify that the Use Standard Profile Dialog option is selected. If not, select this option.

    7. Under Placeholder, select Retain placeholder profiles in WorkSite after creating an Embedded Directive.

AccuRoute® DMS Conversion Tool:  ObjectArchiveTM

 The DMS Conversion tool is a utility to extract data stored in Omtool's ObjectArchiveTM solution and migrate the data to another location (such as another archive or HIS system).


Requirements for AccuRoute DMS Conversion Tool (ObjectArchive)

The DMS Conversion tool update can be installed on a system running Windows 2008 64 bit with:


Installing DMS AccuRoute Conversion Tool (ObjectArchive)

  1. Download the OF445.zip file.

  2. Close the AccuRoute Server mmc.

  3. Stop all Omtool services.

  4. Open the OF445.zip file and extract it to a local folder.

  5. Drop the following files into the Omtool Common Files directory:

  6. Drop the following files into the Omtool Server/Bin directory:

  7. Run regsvr32 on omDMSExtractObjectArchiveU.dll

  8. Start all Omtool services.


Installing Patch #o1818

  1.  Download the o1818.zip file.

  2. Close the AccuRoute Server mmc.

  3. Stop all Omtool services.

  4. Open the zip file and extract it to a local folder.

  5. Place the following files into the Omtool Server/Bin directory:

Running an SQL Script Against the OADB Database on ObjectArchive

Run the script below against the OADB database on ObjectArchive. This script allows the DMS Conversion Tool to query and pull images (EJR) records from the legacy ObjectArchive server.  When this script is not run on the OADB database, the Test button errors with an iDispatch error and the actual run of the DMS Conversion Tool task never produces EJR files.

Note:  It may be necessary to remove  ONLINE = ON  for some SQL versions.

Enabling Legacy Volume Lists

  1. In the tree view of the AccuRoute Server, right-click on Volume lists and select Properties.

  2. Click on the Legacy tab.

  3. Click the Add button. Specify the following::

    1. Server: Server IP or name

    2. Port: 6023

    3. Username and password: Credentials of a user who has access o the legacy OA database

  4. When all information is filled in correctly, click Test Connection. When the connection is successful, click OK. The Legacy OA server is now added to the volume list.


Creating a DMS Extraction Transaction Log Table

  1. Open the Microsoft SQL Server Management Studio on the SQL server. This can be ANY SQL server to which the AccuRoute server can connect.

  2. Create a new database for the log table.
    Or, if you have a database, select (highlight) the database to install the DMS Extraction Transaction log table
    .

  3. Run the SQL script DMSExtractionTransactionLog.sql against the selected database. The script can be found in TransactionLogSQL.zip.


Configuring the DMS Conversion Tool Administrator

  1. In the Omtool Server Administrator, open the Server Properties page by right-clicking the Server name and selecting Properties from the drop-down menu.

  2. On the Server Properties page, go to the DMS Conversion Tool tab where you will configure and access the DMS Conversion Tool Selection Criteria.

  3. Click New to open the Selection Criteria Properties page and configure the General tab, the Job Properties tab and, optionally, the Limits tab to create the selection criteria.

  4. Test that the selection criteria is set by clicking the Test button to review a preliminary list of documents that satisfy the filter.

  5. Note: Do not proceed to the next section unless ALL of the settings are set properly.

  6. In the Connection String text box, define the connection string to the SQL table housing the AccuRoute Server database. For example:
    Driver={Sql Server}; Server=MAGNOLIA\SQLExpress; Database=AccuRoute Server;UserID=""; Password="";  

  7. In the Table Name drop down, select DMSExtractionTransactionLog from the list of tables found in the connection string.

  3. In the DMS Type drop down, select the extraction DMS. In this release, it is DMSExtractorObjectArchive. Once you select the DMS type, the Configure button becomes active.

  4. Click Configure to open the Object Archive Server page where you will select a Volume list.

    1. In the Server text box, enter the name of the Database server.

    2. Select either Use Windows Authentication or Use SQL Authentication.

    3. If using SQL Authentication:

      -- In the Username text box, enter name of a valid WorkSite administrative type user.
      -- In the Password and Confirm text boxes, enter the password for the user.

  5. The area under the DMS Type section will display textual information about your configuration on the Selection Criteria Properties page.

  6. Click Properties to open the Object Archive Selection Criteria page and define the filter to be used: Select either Oldest First or Newest First.

    The area next to the Filter section will display textual information about your filter.

  7. Check the box beside Skip Image PDF Documents That Contain Text to indicate PDF documents that contain text are not to be extracted. If this is not selected, all PDF documents will be extracted.

  8. In the Drop Folder text box, click Browse to select or enter the path to the folder where extraction EJR files are to be dropped.

  9. Click Schedule to schedule the running of the conversion tool. The Enter Account Information page opens.

    1. Enter the Username and Password of the user. Confirm the password and click OK. The Omtool DMS Conversion Tool dialog opens.

Configuring the Job Properties Selection Criteria (Job Properties Tab)

  1. Click Job Properties to open the tab.

  2. In the Originator text box, enter the originator details. The Sender column in the Messages (In Process/History) queue will populate with this value. Dmsconverter is entered by default.

  3. In the Destination drop down, select the final destination type as DMSEmail or UNC Path. In the drop-down beside Destination, enter the DMS destination or the Email address or the UNC path, as appropriate (depending on your Destination selection).

  4. Note: For the DMS conversion tool to work, it has to match a rule (that will be created later in this document). The rule will match an email address, so an email address should be used when configuring the destination.

    For the DMS Extractor, set up a FileShare connector before configuring job properties. In the Destination drop-down (for DMS) select the FileShare connector.

    If you select DMS as the Destination, the Advanced button becomes active.

  5. Optionally, click the Advanced button to modify the default recipient settings.

    1. In the Advanced Recipient Settings page, select from the following options: ReplaceNew Version, or Create.

    2. Click OK to close the Advanced Recipient Settings page.

  6. Optionally, in the Format drop-down box, select the final format type.

  7. Optionally, in the Priority drop-down box, change the job processing priority from low.

  12. Optionally, if you want to configure Limits, go to the Limits tab and continue with the procedure below.

Configuring the Limits Selection Criteria (Limits Tab)

The Limits tab allows you to limit the number of jobs the DMS Conversion Tool processes at a time. Configuring Compose Bypass

The Compose Bypass can be used for any file that normally would fail. This composer allows specific rules to be created so that files of that type are submitted to the server along with other attachments that are passed through. For example, a user could send a PDF file and a ZIP file to the server so that the PDF and ZIP files are included in the delivered message.

Note: In order for files to be passed through the server, they must match a rule that has the Document Delivery Format set to Deliver Original Format.

To enable the Compose Bypass:

  1. Start the Omtool Server Administrator.

  2. Expand the console and go to Components > Compose.

  3. Click the Composers tab.

  4. Click the Conversions tab.

  5. Select an existing composer type or add a new one.

  6. Select the mrp - Compose Bypass option as the conversion engine for MRP files.

  7. Select the jpg - Compose Bypass option as the conversion engine for JPG files.

  8. Select the tif - Compose Bypass option as the conversion engine for TIF files.

Note:  MEDITECH MRP files use the Compose Bypass option by default.


Creating the Database for Job Delivery

  1. Open Microsoft SQL Server Management Studio.

  2. In the tree view, highlight Databases. Right-click and select New Database.

  3. In the New Database dialog, enter a Database name and click OK.

  4. Locate the new database in the tree view and expand the view of the database.

  5. Locate Tables and right-click. Select New Table.

  6. In the new table, add the following Column Names:

  7. If you are planning to deliver jobs directly to the database via the Database Connector, add the following required fields as well:

  8. You may add other columns to the database as well, depending on what properties exist in the original Legacy Object Archive Database.

  9. Once all the columns are created click the Close button. A message will appear asking: Save changes to the following items? Click Yes.

  10. The Choose Name dialog will appear. Enter a Table Name and select OK.

  11. The creation of the Database, Table and Columns are now complete.


Configuring the Database Connector

Note: Please reference the Database Connector documentation for additional information regarding this connector..

  1. In the tree view of the AccuRoute Server, right-click on Connectors and select New AccuRoute Connector for/Database.

  2. Enter a license and click Next.

  3. Enter a connection string to the server and click OK . This is the SQL server where the messages from the Legacy OA Server will be sent. For example:
    Driver={Sql Server}; Server=<servername>; Database=<databasename>; User ID=""; Password="";

  4. In the Table Name drop-down, select the table where the messages will be sent. Click Next.

  5. In the Save Message Content dialog, choose to save to either a database or a folder. Click Next and then Finish.

  1. In the tree view of the AccuRoute Server, right-click Outbound under the Rules section.

  2. Select New/Rule.

  3. In the Specify the Criteria for this Rule dialog click Add.

  4. In the Add Rule Criteria dialog, locate and select Destination is an email address and click Next.

  5. In the Items to Match dialog, enter the email address that was specified when setting the Destination email address in the tab (refer to the Job Properties section of this document).

  6. In the Specify the Actions to take for the Rule dialog. Click Add.

  7. In the Add Rule Action dialog select Route to Connector. Click Next.

  8. In the Route to Connector section, click on the drop-down next to Route to Connector and select Database on the server.

  9. In the Document Delivery Format section, click on the drop-down and select PDF

  10. Click the Advanced tab, Click the Custom Properties button.

  11. In the DMS Rule Properties dialog, select Core Properties and Add. (There are two Core Properties that need to be added.)

  12. In the Core Property dialog, add prFinalFormCode as the name,

  13. Add * as the Value and click OK,

  14. Again in the DMS Rule Properties dialog, click Add.

  15. In the Core Property dialog, add prDeliveredDocumentProcessing as the name.

  16. Add 255 as the Value and click OK.

  17. In the Core Property dialog again, add a third core property called prRecipientType.

  18. Add 19  as the Value and click OK.

  19. Click OK to close the DMS Rule Property dialog. Click OK and then Finish .


Configuring AccuRoute Connector for Object Archive DMS Conversion Tool

The AccuRoute Connector for Object Archive DMS Conversion Tool processes the EJR files created by the Job Extraction Application. To configure AccuRoute Connector for Object Archive DMS Conversion Tool:

  1. Open the Omtool Server Administrator.

  2. Go to Connectors > New > AccuRoute Connector For > DMS Conversion Tool. The Server Address page opens.

  3. Verify that the Run on the Omtool Message Server option is selected and click Next. The Display Name page opens.

  4. The default name is DMS Conversion Tool on the Server. Change the name, if necessary, and click Next. The DMS Type page opens.

  5. In the Choose the DMS Type drop-down menu, select ObjectArchive and Configure to select the Volume List. The Object Archive Server page opens.

  6. In the Route to the selected Volume list section, select the volume list. This should be the legacy volume list that was enabled earlier. Click Finish and Next.

  7. In the Specify a Folder to Scan text box, enter the folder the connector should monitor for incoming EJR files. This should be the FileShare directory.

  8. Click Next. The Congratulations page opens.

  9. Click Finish to close the wizard. The connector is now listed in the details pane.


Finding Properties in a Legacy ObjectArchive Database

Use the following SQL script to find properties in a legacy ObjectArchive database:

If the results include NULL otPropertyName values, more research may be required to determine the values. Anything above 4096 was user-defined and commonly used by BDIS, use the following SQL script to query the BDIS database:
